If you are a tenant, short or long-term, looking for accommodation, we will use it to carry out a reference check, prepare a tenancy agreement and related documents, and liaise with council tax authorities and utility providers, as necessary. If you are a landlord, we will use the information in order to be able to contact you to discuss the tenancy, prepare the tenancy agreement and related documents, liaise with council tax authorities and utility providers, if necessary If you are a person or persons enquiring about a lease extension, we will use the information only on matters pertaining to that lease extension. If you are an investor, we will use the information to provide you with investment or related matters as we consider will be beneficial to you.

We will keep your details on file until either you ask for them to be removed, or after we have not had any contact with you for more than one year. We will not share your details with anyone without your express permission and we will not pass your details onto any third party unless legally obliged to do so.

We will continue to hold hard copy financial papers relating to tenancies in a locked cabinet for six years in line with the requirements of HMRC. We will continue to hold such information relating to such tenancies on computer for up to six years in line with the requirements of HMRC. Such information to be held in such a way as to be fully compliant with the requirements of the The European Parliament’s official publication of the General Data Protection Regulation which came into force on 25 May 2018.
